Job Description

Job purpose

The purpose of the Facilities Administrator is to assist the Facilities Manager in maintaining office equipment, physical space, vendors, and onsite property for Regional. They will handle building-equipment emergencies on an ongoing basis and serve as a liaison between company employees and outside contractors called in to fix problems. In addition, they will assist the Facilities Manager with new branch set up and contract negotiations on an as needed basis.

The perfect candidate would be able to multi-task, prioritize, work independently and provide professional and courteous customer service to the locations the department supports.

Duties and responsibilities

Home office vendor management and set up

Manage leasing database, run reports, coordinate rent payments, and approve monthly invoices

Manage all paperwork for new leases and lease renewals to ensure that they are properly executed and filed for our records

Assist with monitoring all construction projects and the set- up of New Branches/Remodels/Relocates

Perform the following under the guidance of the Manager:

Thoroughly research all potential new locations, collect demographic information, competitors, and check city ordinances.

Assist with the Design of the floor plan and furniture layout of new branches and remodels

Develop relationships with contractors and landlords, negotiate pricing, and manage contractors during the construction process and ensure all permits are received.

Assist with ordering and overseeing the set-up of all signage, furniture, utilities and Shred-it (shred bins) in new branches and existing branches

File for the Property Liability Insurance, manage current policies and renewals

Assist with maintenance requests, repairs, preventative maintenance by engaging applicable service providers

Oversee the janitorial program for all branches

Other duties as assigned by leadership

Minimum Qualifications

High School Diploma or Equivalent.

3-5 years of experience with facilities or office management

Computer literacy
Valid Driver’s License and access to a dependable automobile with liability insurance coverage.

Must pass drug screen, criminal and credit background checks.
